Privacy & confidentiality
What we do with your information, and what we do with your manuscript. The second one matters more, so it has its own section.
1. The short version
We collect what you send us in the enquiry form or the chat window, and the files you give us to work on. We use it to do the job and to talk to you about it. We do not sell it, we do not add you to a mailing list you did not ask for, and we do not send cold email. You can ask us to delete everything at any time.
2. What we collect
- When you use the enquiry form
- Your name, email address, where you are based, which services you are interested in, the stage of your project, what you tell us about it, and optionally your budget and deadline.
- When you use live chat
- The conversation itself, and technical information the chat provider collects automatically, such as the pages you viewed and your approximate location from your IP address.
- When you become a client
- Your manuscript and project files, correspondence, and the billing details needed to invoice you. We never see or store your full card number — card details go directly to our payment provider.
- Automatically
- Standard server logs kept by our hosting provider, including IP addresses, for security and abuse prevention.
3. Your manuscript
Anything you send us to work on is unpublished intellectual property and we treat it that way. Specifically:
- We do not share it outside the people working on your project.
- We do not publish it, quote from it, or put it in our portfolio without your written permission.
- We will sign your own non-disclosure agreement on request.
4. Why we hold it
Where UK or EU data protection law applies to you, our lawful bases are: contract, for everything needed to quote for and deliver your project; legitimate interests, for replying to enquiries, keeping records and preventing abuse; and legal obligation, for tax and accounting records.
We rely on consent only where we ask for it explicitly — for example, before naming you or your book publicly. Consent given can be withdrawn at any time.
5. Who else sees it
We use a small number of service providers who process data on our behalf. They may only use it to provide their service to us.
| Provider | What it handles |
|---|---|
| Cloudflare | Website hosting, DNS and security |
| Resend | Delivery of enquiry and acknowledgement emails |
| Zoho Mail | Our email inboxes |
| tawk.to | The live chat window |
| Flutterwave | Card payments and checkout |
| Supabase | Your account, orders, quotes and messages |
We do not sell personal data, and we do not share it with advertisers. We would disclose data if legally required to, and would tell you unless prohibited from doing so.
6. How long we keep it
- Enquiries that go nowhere: deleted within 12 months.
- Project files: kept for 12 months after delivery so we can help if you come back, then deleted. Ask and we will delete them sooner.
- Invoices and financial records: kept as long as tax law requires.
- Chat transcripts: retained by our chat provider under its own retention settings.
7. Your rights
Wherever you are, you can ask us to show you what we hold, correct it, delete it, send you a copy, or stop using it. Write to probookstudio12@gmail.com and we will respond within 30 days. We will not charge you, and we will not make it difficult.
If UK or EU law applies to you, these are the rights of access, rectification, erasure, restriction, portability and objection under the UK GDPR and GDPR. You also have the right to complain to your data protection regulator — in the UK, the Information Commissioner’s Office at ico.org.uk.
8. Cookies and chat
This site sets no advertising or analytics cookies of its own, and there is no tracking pixel on any page.
The live chat window sets cookies so it can recognise you across pages and keep your conversation going. If you never open the chat, you can avoid them entirely. Blocking cookies in your browser will stop the chat working but will not affect anything else on the site.
9. Where your data goes
We operate from Nigeria, and our providers operate servers in the United States, the European Union and elsewhere. This means data about you may be transferred outside your own country, including outside the UK and EEA.
Where required, our providers rely on Standard Contractual Clauses or equivalent safeguards for those transfers.
10. Security
The site is served over HTTPS. Access to project files is limited to people working on your project. Payment card details never touch our systems. No system is perfectly secure, and if a breach ever affected your data we would tell you promptly and plainly rather than burying it.
11. Children
Our services are for adults. We do not knowingly collect data from anyone under 16. If you believe a child has sent us personal data, contact us and we will delete it.
12. Contact and complaints
For anything in this policy, including requests to delete your data, write to probookstudio12@gmail.com.
The data controller is ProBook Studio, operating from Nigeria, reachable at the email address above. If you would like our postal details in order to make a formal request or complaint, ask and we will provide them.
