Refund policy
Most of this policy never has to be used, because of how we take payment: a free sample before you commit, and milestones instead of the whole fee upfront. But you are entitled to know the answer before you need it, so here it is in full.
1. What this policy covers
This policy applies to every payment made to ProBook Studio for ghostwriting, editing, beta reading, cover design, interior formatting, publishing setup, promotion, and website or landing page design.
It sits alongside our terms of service and expands on clause 11 of those terms. Where a signed agreement for a specific project says something different, that agreement takes precedence.
All prices are quoted and paid in US dollars.
2. How we reduce the need for refunds
Three things, all of which happen before money changes hands:
- A free sample. We do the real work on a few of your pages, free, so you can judge the standard before you commit to anything.
- A written quote. It names exactly what is included, how many revision rounds you get, and when each part is due. If it is not in the quote, you are not paying for it.
- Milestones, not the full fee upfront. You pay for a stage, we deliver that stage, and you decide whether to go on. At no point are you holding a receipt for work that has not started.
3. When you get a full refund
We refund everything you have paid, without argument, in these cases:
- You cancel before we have begun work on the stage you paid for.
- We cancel — because we cannot deliver what was agreed, or our capacity changes — and have not yet delivered the stage.
- You were charged twice for the same thing, or charged the wrong amount.
- A payment was taken for a quote you never accepted.
A duplicate or incorrect charge is refunded as soon as we can see it, and you do not need to justify the request.
4. When you get a partial refund
You may cancel a project at any time by telling us in writing. You pay for the work completed and the work genuinely in progress at that point, and everything you have paid beyond that is refunded.
“In progress” means work actually underway, not work we had scheduled. When you cancel we will show you what has been done so far, and you will receive that work — you are not paying for something you never get to see.
5. When we do not refund
We do not refund completed work that matches the brief you agreed, simply because you have changed your mind about the project, decided not to publish, or found someone cheaper afterwards. Once an edit has been done or a cover has been designed, the work has been done.
We also do not refund on the basis of how a published book performs. Sales depend on the market, the category, the timing and the reader, and no book studio anywhere can promise a result. Anyone who does is lying to you.
Neither of these removes your rights under section 6 if the work does not match what was agreed.
6. If the work is not right
Say so. This is the important part of the policy, and it is deliberately placed before anything about money.
If what we deliver does not match the agreed brief, the revision rounds in your quote exist precisely for that, and we will put it right at no extra cost. Tell us what is wrong in one consolidated set of notes and we will work through all of it.
If, after the revision rounds included in your quote, the work still does not match what was agreed, you are entitled to a refund of the fee for that stage. We would far rather fix the work than return the money, but the option is yours, not ours.
A change of direction is a different matter. A new concept, a different genre treatment, a restructured book — that is new work rather than a failure to deliver, and we will quote for it separately instead of treating it as a revision.
7. Costs paid to other companies
Some projects involve money that leaves us and goes to someone else: stock photography or font licences for a cover, paid ISBNs, print proofs, distribution fees, or advertising spend on a launch.
Once those have been bought on your behalf they cannot be returned to us, so they cannot be refunded by us. We will always tell you before spending money like this, and we give you the receipt. Licences bought for your book belong to your book — you keep them whatever happens to the rest of the project.
Transaction fees and currency conversion charges applied by your own bank or card issuer are outside our control and are not refunded by us.
8. How to ask for a refund
There is no form. Message us on the live chat, or from the Messages tab inside your account, or email probookstudio12@gmail.com.
Please include your quote reference (it looks like PBQ-0001 and is on every quote we send) and a sentence on what has gone wrong. You do not need to write anything formal.
We acknowledge every refund request within two working days and give you a decision in writing within five working days. If we need something from you to decide, we will ask once and clearly.
9. How and when the money comes back
Refunds go back to the card or account the payment came from. We cannot send a refund to a different account, and we will not ask you for bank details in order to process one — if anybody claiming to be us does, it is not us.
Once a refund is agreed we issue it within ten working days. After that it is with the banks: most cards show the money within three to five working days of us issuing it, though some issuers take a full statement cycle.
Because we quote and charge in US dollars, the amount landing in a non-US account may differ slightly from the amount charged, due to exchange rates moving between the two dates. We refund the dollar amount taken.
10. Before you raise a chargeback
If you believe a charge is wrong, please tell us first. We can usually resolve it in a day, whereas a chargeback takes weeks, freezes the conversation, and gets decided by people who have not read the brief.
We will never respond to a genuine complaint by refusing to talk. If you are unhappy, you will get a real answer from a person.
